This website, bookingsontap.com ("the site", "we", "us", "our"), is operated by Insert Robot Ltd, registered in England & Wales 15232415, registered address 1 International House, London, England, E1W 1UN. BookingsOnTap is a trading name of Insert Robot Ltd.
We are the "data controller" for the personal information you give us through this site. We are registered with the Information Commissioner's Office (ICO), registration number ZB910456.

2. What this policy covers
This policy explains what personal information we collect when you visit bookingsontap.com or get in touch with us, how we use it, who we share it with, and your rights. It covers our own website only. When we build and run websites for clients, the client is the controller for their customers' data - that's covered by a separate agreement with them.
3. What we collect
Information you give us - when you fill in an enquiry or "get a quote" form, or email us:
- your name
- your phone number (or WhatsApp number)
- your email address
- your business name and postcode
- which option you selected (e.g. "I need a website")
- anything you write in the message field
Information collected automatically - when you browse the site:
- your IP address, browser type and device information
- the pages you view and the page you submitted a form from
- referring website
We do not collect special-category data, and we ask you not to send sensitive personal information through the form.
4. How we use it, and our lawful basis

We do not send marketing emails unless you've asked us to, and we never sell your data.
5. Cookies and analytics
The site uses Google Analytics 4 to understand visits. These analytics cookies only load if you accept them via the cookie banner; you can decline or change your choice at any time. You can also clear cookies in your browser settings.
The site uses system fonts, so loading the site does not send your data to Google for fonts. Strictly necessary cookies needed to run the site may be set without consent.
6. Who we share it with
We use a small number of trusted suppliers ("processors") to run the site:
- Cloudflare - website hosting (Cloudflare Pages) and the database that stores form submissions (Cloudflare D1).
- Google - Google Analytics (only with your consent), and Gmail, which we use to reply to email enquiries.
- Meta - we use WhatsApp to receive new-enquiry notifications and reply to you.
We share your information with them only so they can provide these services, under contract. We don't sell or rent your data to anyone.
7. International transfers
Some of these suppliers (e.g. Cloudflare, Google, Meta) may process data outside the UK. Where they do, the transfer is protected by appropriate safeguards such as the UK International Data Transfer Agreement / Addendum or equivalent.
8. How long we keep it
We keep enquiry information for 48 months after our last contact, then delete it, unless we need to keep it longer for a live project or to meet a legal obligation (for clients, financial records are kept for 6 years as required by HMRC). Analytics data is retained per Google Analytics settings (14 months).
9. Your rights
Under UK data protection law you have the right to: access your data; correct it; have it erased; restrict or object to how we use it; data portability; and to withdraw consent at any time. To exercise any of these, email [email protected] and we'll respond within one month.
10. Keeping your data safe
The site runs over HTTPS, and access to stored enquiries is restricted to Alex via an admin key. No system is perfectly secure, but we take reasonable steps to protect your information.
11. Changes to this policy
We may update this policy from time to time. The "last updated" date at the top shows the latest version.
